A useful one-on-one meeting template creates consistency while leaving room for employee priorities. Cover recent wins, current work, blockers, feedback, development, wellbeing, and decisions that need manager support. Capture only important actions, including the owner and when each item will be revisited.
A repeatable one-on-one template
Open with a personal check-in and let the employee identify the most important topic. Review priorities, decisions, and blockers, then create space for coaching, two-way feedback, career development, and workload concerns. Keep project status brief unless it reveals a decision or support need that requires the manager.
Document decisions, not a transcript
End with a short list of actions, owners, and follow-up dates. Maintain a shared running agenda so either person can add topics between meetings. Over time, the record should make recurring obstacles, development goals, and commitments visible without turning a trust-building conversation into heavy administration.
